Where to Begin?

AOS USA, Inc. begins planning for activation in the initial stage of the project plan, the design phase.  While our activities will be limited in the early phases, it is nevertheless important that the end state be kept in mind throughout the entire project to ensure costly oversights in the early phases become seen and corrected.  AOS USA, Inc. also understands the delivery of a quality building constructed on time and on budget is only part of the success of the overall project.  The activation (Transition Plan) must also be well planned to ensure all Healthcare and Patient Care issues are considered; medical equipment and IT infrastructure installed; and most importantly ensure the staff is adequately trained and oriented to be ready for Patient Care within the new environment.

What is AOS USA, Inc.'s Role?

Master Scheduler & Activation / Transition Planner:  AOS USA, Inc. will plan and manage the activation (Hospital Transition) and occupation of the new facility.   This includes owner's activities related to the logistics of equipping the facility, management of the physical movement, and also preparation for ongoing operations of the facility.  To successfully manage the activation or transition phase, the plans for each discipline, design, construction, clinical engineering, IT, telecommunications, equipment, furniture, and all the supporting departments (and units to be moved) will need to be combined into one plan, or master schedule.  The master schedule contains the milestone tasks from each discipline and their relationship to the tasks from the other disciplines.  There are too many task relationships, which require the necessity to have an overall integrated plan: for example, important construction milestones, imaging and fixed equipment tasks, purchasing actions with equipment lead times, staff orientation and training tasks, Support Services roles identified, specific equipment and furnishings installation tasks, Infection Control and Health Department Inspections, etc. 

AOS USA, Inc. will also take on the role of activation planner (Transition Planning) and execute the plan.  

AOS USA, Inc. will:

  • Develop the Master Transition Timeline, which will be used as the “key” document to guide all activities throughout the entire project.
  • Provide on-site supervision of the relocation process at origin and/or destination
  • Identify any opportunities for process improvements throughout the occupation and activation process
  • Hold regular Master Transition Timeline meetings with all Hospital Services, contractors, vendors, etc., and document progress and changes. This provides a tool to manage and track overall project progress and allows time to make adjustments before an important critical task becomes a problem.
  • Coordinate Healthcare professionals into one cohesive plan ensuring PATIENT SAFETY is a top priority.
  • Provide methods for and onsite supervision of Medical Equipment & Furnishings
  • Prepare the staff for the relocation through meetings, information packets, and assistance with website development.
  • If feasible, AOS USA, Inc. will use a computer-aided facility management, (CAFM) tool to link the relocation database to the AutoCAD drawings.  AOS owns several of these tools (ARCHIBUS, Aperture, etc.) and will use its license to execute this procedure.
