Clients and Sector:

VCU Health System, Medical College of Virginia Hospitals & Physicians -  Healthcare

Project Mission:

AOS worked with the VCU Health System to help lead efforts for a successful transition of selected hospital operations from the existing location to the new addition, as well as coordinate all of the individual, department, and vendor planning into one overall transition plan.  The new addition expands services and greatly changes operational procedures, so transition planning and training was a key element of the project.

Challenges:

  • Very constrained foot print for the 15-story addition in downtown Richmond.
  • High-security prison care unit in basement.
  • Over 30 clinical departments impacted by the transition, many of them transforming operational procedures in conjunction with the move.
  • Fielding key system in conjunction with the new addition.

AOS Services:

  • Master relocation plan, budget
  • Team meetings & documentation
  • Logistics planning (patient moves, art, plants, food service, planning with PCUs)
  • Vendor, IT, special space coordination
  • Move preparation & coordination
  • Supervision (command center), welcome desk, post-move activities, close-out

Value Added:

Major changes to operational procedures within patient care units made this project complicated.  For example, the NICU placed patients with rooms versus placement in open space.  Fielding of new systems (e.g., Pyxis Pharmaceutical Distribution) required a strategic approach to training and recruitment of additional staff members.  AOS was able to help the team focus on the overall transition and relocation aspects of the project, including working with nurse managers to help prepare staffs for the change in mission.  AOS also performed a key role in planning, purchase, and installation of furniture and clinical equipment.
